How to plan a birthday at a private pool villa: a checklist

A birthday at a private villa is easier than a party hall and more personal than a restaurant. You get the whole house, a private pool and no closing time at 10 PM. It does take a little planning, so here is the checklist we use with guests.

Four weeks before

1. Fix the date and headcount. Saturdays go first. A rough headcount decides the villa: ours sleep 12 to 18 as standard, and up to about 30% more with extra beds at ₹1,000 each.
2. Choose overnight or day use. Day use is cheaper and suits afternoon parties with children. Overnight suits friends and family who want the evening and a lazy breakfast.
3. Check availability and send a request. Pick your date on the live calendar and add your notes, so we can quote everything in one go.

Two weeks before

• Décor and cake. Our Birthday By The Pool package covers villa décor, a cake and snacks. Tell us the theme, colours and age.
• Food. Decide between home-style meals from the chef, a buffet spread, or a BBQ night with a seafood grill, karaoke and a projector movie.
• Music. Music is welcome at a comfortable volume. Quiet hours are 11 PM to 7 AM, and DJ setups or fireworks need our agreement in writing.

The week of the party

• Share the guest list size again. Extra guests beyond the booking need confirmation, and pets need prior notice (₹1,000 per pet).
• Plan arrival. Check-in is from 2 PM; check-out by 12 noon. Early check-in for set-up can be arranged if the villa is free.
• Pack for the pool. Swimwear, towels for the pool deck, and floats for small children.

On the day

• Let the caretaker know your meal timings on arrival.
• Keep an adult with children at the pool at all times. The pool is private but unsupervised.
• Take the group photo at golden hour, just before sunset.
